Bookings

Bookings let people book time with you through a widget on your website, and let your team book appointments from the CRM. Each booking belongs to one person on your team and fits around their availability.

The bookings calendar

Bookings → Calendar shows every booking in List, Day or Month view. Filter by status: pending, confirmed, completed, no show or cancelled.

Click a booking to open it. From there you can Confirm Booking, Mark as Completed, Mark as No-Show, Cancel Booking, Reactivate Booking or Delete Booking. Admins can also change who it is assigned to, under Assigned To; the event moves off the old person’s calendar.

A booking’s time and details cannot be edited. To move one, cancel it and book again.

Book an appointment from the CRM

Click New Booking on the bookings calendar, or + New Booking on a contact’s page. Choose the booking type and a free slot, then add a title, the location and any notes. A booking made in the CRM sends no email to the guest.

Booking types

Admins only.

Booking types are the appointments you offer, such as a discovery call. In Bookings → Booking Types, click New Booking Type and set:

  • Name and duration in minutes (both required)
  • Description, shown to the person booking
  • Assigned to (required): who takes these bookings. Their availability decides the times offered
  • Colour, shown on the calendar’s list view and in the widget
  • Active: only active types appear in the widget
  • Requires confirmation: bookings of this type wait as pending until you confirm them

To change a booking type, click the pencil on it.

Your availability

Everyone sets their own hours on My Availability (Bookings → Availability): your timezone, your Weekly Hours, and days that differ, such as holidays, with Add Override. Click Save Changes under Weekly Hours to keep them.

Bookings are only offered in the assigned person’s hours, leaving out times already booked and, with calendar sync, times their own calendar shows as busy.

Emails to the guest

  • A booking made through the widget emails the guest a Booking Confirmation with a calendar file (.ics), or a Booking Requested email if it needs confirming. Admins get an email about it too.
  • When you click Confirm Booking, the guest gets Booking Confirmed, with a calendar file.
  • Cancelling in the CRM does not email the guest, so let them know yourself.

Kabooly CRM does not send reminder emails before a booking.

The booking widget

Admins only.

Put the booking widget on your website so people can book themselves:

  1. Go to Bookings → Embed Widget. The first time, click Create Booking Widget.
  2. Choose how it looks, how far ahead people can book (Minimum Notice (hours) and Maximum Future Days), whether every booking must be confirmed by email first, and what happens afterwards: a Confirmation Message, or a Redirect URL to send people to.
  3. Copy the embed code and paste it into your website where the widget should appear.
