Contacts

Contacts are the people you deal with. Most arrive by themselves, from your forms, bookings, Facebook lead ads or the API, and you can add anyone by hand.

Add a contact

  1. In the menu, under Contacts, click Add Contact.
  2. Enter their email address. It is the only detail a contact must have. Add any of first name, last name, phone, company, job title, street address, city, region, postcode and country.
  3. Click Create Contact.

If the email address is already on the account, you are told so, with a link to that contact, and nothing is added twice.

Phone numbers can be typed with spaces, dashes, dots or brackets, and are saved tidied. If a number cannot be read, you see Enter a valid phone number.

Find contacts

View Contacts lists everyone on the account. Search by name or email, and sort by first name, last name, enquiry date or lead quality. Filter by:

  • source, lead quality, tag or form
  • UTM source, campaign or medium
  • marketing: subscribed or unsubscribed
  • enquiry date, which is when the contact joined your account
  • your contact properties and custom fields

Each filter in use shows as a chip that you can remove on its own. The same filters build dynamic marketing lists.

The contact page

Click a contact to open their page. From there you can:

  • edit their details, or delete the contact
  • move to the previous or next contact in your list
  • turn Subscribed to marketing emails on or off; someone who has unsubscribed shows the date they did
  • set their Lead Quality: A, B or C for a high, medium or low fit, or Unqualified
  • add or remove tags and change their stage
  • log activities and add tasks
  • add deals (+ New Deal), bookings (+ New Booking), marketing lists (Add to List) and files

Source & Attribution shows where they came from: the source, medium and campaign of their first visit and of their latest one, Google and Facebook click IDs, their location, any other answers under Additional Information, and their contact property answers.

Activities

Log what happens with each contact as a Call, Email, Meeting or Note. A contact’s activities are listed newest first.

Tasks

Tasks remind you of follow-ups. Each has a title, and can have a description, a due date and a priority of Low, Medium or High. Tick a task when it is done.

Delete contacts

Delete a contact from their page. Admins can delete many at once: tick them in the list, or use Select all on page or Select all N matching, then click Delete.

If a contact you delete had unsubscribed, that is remembered: add the same email address again and they stay unsubscribed. If the same email address comes back, from a form for example, the contact returns with the details they had. To remove someone completely, for example after they ask you to erase their data, email [email protected].

Stuck, or something missing? Email [email protected], or send a message from Feature Requests in the CRM. David reads and replies to every one.
